Target Information Systems have worked with Sibelco to deliver a new system to ultimately manage visitors and contractors that are arriving across their multiple sites; to gain overall visibility of their induction and documentation compliance.

With hundreds of external employees working over multiple sites, the organisation needed something in place to provide structure and a standard process to improve the manual upkeep of their previous process of punch hole cards and spreadsheets to manage contractor induction compliance. To ensure compliance and security, Sibelco needed a more efficient and effective process to manage inductions and capture information while contractors and visitors arrived on site.

Target have delivered their Verature Contractor Compliance System to help the team organise, manage and improve health and safety procedures to the multiple sites around the UK. The Verature system at Sibelco is providing the most efficient, cost effective and convenient way of managing contractor inductions.

To manage contractors onsite, the business was working in separate spreadsheets to manage contractors and the compliance around events on the estate. The Goodwood Group were looking for an innovative system that could meet their requirements and help reduce the labour-intensive process of managing contractors coming onto site.

Target Information Systems Verature Compliance system has enabled Goodwood to gain control and automation with its event compliance process. Additionally, the flexibility of the system and Target’s development skills and knowledge has also enabled the business to set up events and invite contractors to accept roles and manage their workers and sub-contractors compliance documents via the system.

The Verature system is providing Goodwood with an efficient, cost effective and user-friendly method that enables the team to easily share information across departments and the business, as well as have clear visibility over their events, contractors and compliance.

Through an initial pre-planning meeting, Target were able to identify and evaluate Goodwood’s need for change and how they wanted to move forward with the benefits that a Verature system could offer. Working collaboratively, Target has enabled Goodwood’s Verature system to provide:

  • A Contractor Onboarding Process to standardise data being collected.
  • A Database of Contractors which includes relevant health and safety, risk assessments and RAMS documents.
  • An overall view of any event projects to enable the team to review compliance of contractors and insurances.
  • Event management to update information in real time and automate email notifications and reduce time spent compiling data from multiple sources.
  • A collaborative system for Goodwood departments to seamlessly work together and reflect organisation workflow and terminology.

The University of Strathclyde is a public research university; it is Glasgow’s second-oldest university, and it is Scotland’s third-largest university by the number of students, with students and staff from over 100 countries. The University of Strathclyde was the UK’s first technological university reflecting its history, teaching and research in technological education.

Target Information Systems have worked with the University of Strathclyde to deliver a new system to innovatively manage contractors and their sub-contractors that are signing on and off-site; to gain overall visibility on their various campus sites and have complete compliance during the contractor onboarding process.

Using manual processes for contractor management the Estates Development and Operations Team understood there was a need to improve their manual processes and the way contractors were booked onsite and signed out of their campus sites. To ensure compliance and security, the University needed a more efficient and effective process to reduce any health and safety risks while ensuring contractors were onboarding successfully with the correct requirements and documentation in place.

During the Covid-19 Pandemic, Target has deployed and configured their Verature Contractor Management System to help with compliance, health and safety, and security regulations by managing the contractor onboarding process and capturing information when contractors and visitors arrive on campus sites. The Verature system at the University of Strathclyde is providing the most efficient, cost-effective and convenient way of monitoring their contractors and project bookings; by productively managing the onboarding and induction process to authorise contractors, and their sub-contractors by recording, and reporting important information and documentation.

The contractor onboarding process and maintenance bookings within the Verature Contractor Management System have been developed with the University so that the supplier can input their own contractors’, and any sub-contractors’ details against the work activity, without the need for a separate supplier login stage. The process has been developed to ensure all compliance requirements have been met in advance of the visit, enabling the team at Strathclyde to focus on the approvals and take this once manual process, to become more streamlined and aligned to ultimately save the Estates Development and Operations Department time chasing contractors for information.

With further development to the Verature system, the University now has a streamlined induction process with a standard and automated online assessment process, requiring minimal input from University of Strathclyde staff until the arrival of contractors on-site, as well as having the ability to run reports of contractor status with a clear dashboard providing live information for users.

With hundreds of internal and external employees working over six sites, the organisation needed something in place to provide structure and a standard process to improve the ad hoc site control they were previously carrying out. To ensure compliance and security, Appleyard Lees needed a more efficient and effective process to reduce any health and safety risks while visitors and contractors were on site.

Target delivered their Verature Visitor Management System to help the firm organise, control and secure access to multiple premises around the UK.

The Verature system at Appleyard Lees is providing the most efficient, cost effective and convenient way of monitoring access to sites, by managing visitors and contractors by authorisation profiles and recording and reporting access.

The Kiosk functionality within the Verature Visitor Management System enables the staff, visitors and contractors sign on and off site simply and easily, using QR codes. While the online Fire Register continuously keeps track of the multiple staff over the six sites simultaneously, effectively helping the organisation be ready for any situation.

With further development to Target’s Verature system, Appleyard Lees are now able to track Lone Worker situations, with a full escalation process. The Verature System is enabling Lone Workers to log out remotely and if they have not signed off site, a text and email will be issued to an emergency contact to escalate a healthy and safety check on the Worker.

NCC knew they needed to put a system in place to better manage visitors on site. To reduce administration time on site, Target have delivered their Verature Visitor Management system to help the business organise, control and secure their visitor and contractor management procedures.

NCC wanted a system that could grow with the company as they gathered additional requirements; taking on a phased step approach to ensure things weren’t missed in their processes. Through their phased step approach the organisation has managed to gain sequential numbering of permits and have the ability to search contractors to understand when they have been on site, what risk assessments have been provided and which permits have been issued.

The Verature system at NCC is providing a secure, convenient, flexible and a cost-effective way of controlling tours and access to site, all while having easy access to an online site fire register.

To manage contractors onsite, the organisation were working with a system that had become unsupported and failed to meet the needs of the team when the system could no longer be configured. Ornua – The Home of Irish Dairy, is an agri-food commercial co-operative which markets and sells dairy products on behalf of its members, Ireland’s dairy processors and in turn the Irish dairy farmer. Ornua has been present in the UK for over 50 years and today is one of the leading suppliers of dairy products in the UK.

The business was very dependent on paper processes across their site in regards to their contractor management and authorisation of work permits. Ornua Foods were keen to explore a solution to remove their paper-based process and change how they manage contractors and visitors attending site.

Coca-Cola Europacific Partners (CCEP) is the largest bottling plant in Europe, which is situated in Wakefield, West Yorkshire. The 45 acre site produces over 100 million cases of pop every year and employs approximately 500 people.

Target Information Systems have worked with CCEP since 2010 after being approached with a new project towards delivering complete compliance at Wakefield Operations with additional and innovative business management systems.

With literally thousands of different pieces of equipment, which require some element of inspection, maintenance and calibration & tens of thousands of visitors and contractors on site each year, which need to be managed in a more efficient and effective way to ensure compliance and security, as well as reduce any health and safety risks.

Target have continued to work with CCEP and have now developed the Verature Access Control system to help the business organise, control and secure access to the premises. The system is providing the most efficient, cost effective and convenient way of monitoring onsite events, by managing visitors and contractors by authorisation profiles; and recording and reporting onsite audits and permits

Falmouth Exeter Plus (FX Plus) manages the shared services at Penryn Campus and Falmouth Campuses on behalf of Falmouth University and the University of Exeter (UoE). They provide a comprehensive range of services and facilities to support Higher Education learning and living.

With external contractors working over multiple sites, the organisation required a contractor management solution that would provide a structured and a consistent approach across both campuses, to improve and manage contractor compliance in the induction and booking-in process. To increase and ensure compliance, security and safety on site, FX Plus needed an efficient and effective management system, to manage contractor inductions, while capturing essential contractor and visitor booking information.

Target Information Systems have worked with the team at FX Plus to deliver a new system to innovatively manage contractors signing on and off-site; enabling FX Plus to gain overall control and visibility of contractor visits across their various campus sites, ensuring complete compliance during the contractor onboarding and induction process. Previously over reliant on manual and paper-based processes for contractor management and aiming to digitalise the approach, FX Plus understood there was a need to increase the efficiency of the completion and upload of RAMS and permits associated with bookings.

With the newly automated Verature onboarding process, the FX Plus team managed to out-perform their initial 60-day target of successfully onboarding their first 50 key contractors onto the system, achieving this target within the first two weeks of the system Go-Live date. With refined RAMS, Permit and booking approval workflows, the Verature system provides an efficient, cost-effective and convenient way of managing, monitoring and auditing contractor bookings and visits on site, enabling FX Plus to gain the control, overview and automation required. In the first quarter of the system being live, 90.49% of RAMS associated with bookings were approved more than 2 days in advance of the contractor visit on site.

Working closely with the Target Information Systems team, FX Plus, Falmouth University and the University of Exeter, have now developed a streamlined animated contractor induction video, with an automated online assessment process, requiring minimal input from campus staff, until the arrival of contractors on-site. The management team have the ability to run reports on contractor bookings and visits at any time, with a user dashboard providing the live status of all companies set up in the system. During the first six months of the system being live, there have been 593 contractor tradesperson Inductions and assessments completed, 152 companies set-up/verified and over 3,318 Contractor Visits recorded within the system.

The organisation are now innovatively managing the signing in and out of contractors using the Verature Kiosk Module ‘check-in’ function. This functionality enables visitors and contractors to check-in and check-out of site simply and easily, by scanning QR codes (provided through automated booking emails) at iPads located in 3 locations across the campuses. The bookings module ‘on site now’ function assists in enabling management to then continually monitor contractor attendance on both campuses simultaneously, further improving safety and security on site, with a detailed overview of all work being completed.
