Why Goodwood use innovation to manage contractor compliance across their large estate…

Goodwood is England’s greatest sporting estate and home to three of the biggest sporting events in the world; set in 12000 acres of glorious Sussex countryside, they needed an innovative system to help reduce the labour-intensive process of managing contractors coming onto site.

Goodwood were struggling to manage their multiple workforces across their large estate and multiple events with separated spreadsheets and no visibility of contractor compliance.

An innovative and user-friendly system that enables the team to easily share information across departments to have clear visibility over their events, contractors, and compliance.



Managing contractors and event information using manual paper-based processes and separate department spreadsheets. A central database of contractors which includes relevant health and safety, risk assessments and RAMS documents, which can be easily accessed by departments and teams.
Contractors simply sign in at the cabin and do a paper induction, then sign a paper form on completion. An automated contractor onboarding process, standardising the data being stored and collected to enable a seamless sign-in and induction procedure.
Goodwood hosts manually e-mail and chase Contractors due on site for insurance documents/RAMS and upload documents to a shared Google Drive. An overall view of any event projects to enable the team to easily review compliance of contractors and insurances.
Cannot easily search information or be notified of expired documents as a shared spreadsheet of insurance expiry dates is kept on Google Drive. Event management features to update information in real time and automate email notifications and reduce time spent compiling data from multiple sources.
Information and data collected and kept in multiple systems and spreadsheets with no simple way to share across departments and teams. A collaborative system for Goodwood departments to seamlessly work together and share information while the system reflects the organisation workflow and terminology, to maintain standards throughout.

An innovative and event driven system to help improve their processes around contractor compliance across the estate is what Goodwood wanted, so we introduced Verature.

Goodwood is England’s greatest sporting estate and home to three of the biggest sporting events in the world. Set in 12000 acres of glorious Sussex countryside, it is an English estate like no other – home of Festival of Speed, Qatar Goodwood Festival and much more. At Goodwood, their vision is to create and maintain a financially healthy group of businesses that – both individually and through collaboration – help to protect their heritage.

To manage contractors onsite, the business was working in separate spreadsheets to manage contractors and the compliance around events on the estate. The Goodwood Group were looking for an innovative system that could meet their requirements and help reduce the labour-intensive process of managing contractors coming onto site.

The Verature Contractor Compliance System has enabled Goodwood to gain control and automation with its event compliance process. Additionally, the flexibility of the system and the development team behind the systems’, development skills and knowledge has also enabled the business to set up events and invite contractors to accept roles and manage their workers and sub-contractors’ compliance documents via the system – instead of using multiple spreadsheets and time chasing contractors.

The Verature system is providing Goodwood with an efficient, cost effective and user-friendly method that enables the team to easily share information across departments and the business, as well as have clear visibility over their events, contractors, and compliance.

Through an initial pre-planning meeting, the development team at Verature were able to identify and evaluate Goodwood’s need for change and how they wanted to move forward with the benefits that a Verature system could offer. Working collaboratively, the Verature team has enabled Goodwood’s Verature system to provide:

“We decided we wanted a phased implementation approach, starting with our Motorsports Events team. Through working initially with the development team and their consultancy services and then with their Technical Director, we were able to analyse and map the event process with our Event Managers to ensure everything we need could be configured into the system. The phased approach enables us to spread the amount of change in the event operations department as well as enable us to work with the system before we develop it further – with the help of the Verature team – and eventually roll the system out to the rest of the Estate.”
